Eight practical steps to take when a flight is cancelled or extensively delayed, with passenger-rights guidance for the United States, EU, UK, Canada and Australia.
A cancelled flight can derail your trip. A rolling delay can leave you stuck watching the departure time slide further away. Acting quickly—and knowing what to ask for—can protect your plans, your money and your sanity.

1. Start rebooking immediately.

Open the airline’s app while joining the service-desk queue or contacting its official support channel. Look for alternative flights, connections and nearby airports, then give the agent specific options. Ask whether another airline can get you there sooner; the obligation to arrange this depends on the rules covering your journey.Use contact details from the airline’s app or website. 2. Decide whether you still want to travel before accepting a refund.

A refund may sound attractive until you see the price of a last-minute replacement ticket. Compare the alternatives first. Ask whether accepting a refund will end the airline’s responsibility to arrange onward travel and accommodation.A refund returns eligible ticket costs. Care covers assistance such as meals or a hotel. Compensation is an additional payment for an eligible disruption. 3. Ask for the reason—and keep the evidence.

Request the specific cause of the disruption in writing. Save your booking, boarding passes, cancellation messages, original itinerary, revised arrival time and screenshots of conversations. Keep itemised receipts for necessary expenses.“Operational issues” is a starting point for questions. The underlying cause can determine whether compensation or assistance is owed.

4. Ask about meals and a hotel before paying yourself.

Ask directly: “What meal, accommodation and ground-transport assistance will you provide?”If help is unavailable, document your attempts to obtain it and keep spending reasonable. Reimbursement is not guaranteed everywhere. Under UK rules, reasonable self-arranged care can be claimed when the airline fails to provide it; luxury hotels and alcohol are unlikely to qualify. 5. Know which regional rules cover your flight.

Your route and operating airline matter—not simply your nationality or where you bought the ticket.

United States

For flights to, from or within the U.S., refund rights apply when qualifying disrupted travel is declined. There is no general federal requirement for cash compensation for delays. European Union

Generally covers departures from the EU on any airline and arrivals from outside the EU on an EU airline. Cancellation gives a choice of refund or rerouting. Delay-related care begins after two, three or four hours, depending on distance; at five hours, you can abandon travel and seek reimbursement. Eligible arrival delays of three hours or more can attract €250–€600, with reductions in some cases. Cancellation compensation depends on notice and alternative-flight timings. United Kingdom

Covers UK departures on any airline and UK arrivals on UK or EU airlines; other qualifying routes also exist. Care starts after two, three or four hours, depending on distance, regardless of the cause. A five-hour delay permits abandoning travel for a refund. Canada

Covers flights to, from and within Canada. Rebooking and refund obligations depend on the disruption and airline size. Compensation can reach C$1,000 on large airlines for qualifying disruptions within the airline’s control and not required for safety. Meal and hotel duties have separate conditions and can apply to controllable safety disruptions. Australia

Consumer guarantees may entitle you to a replacement service, refund or other remedy, depending on the cause, length of delay and replacement offered. Do not assume European compensation amounts apply. Check the airline’s policy alongside your consumer rights. 6. Protect the rest of your trip.

Ask the airline to confirm your onward and return flights remain intact and where your checked bags will go. Contact your hotel, transfer provider and anyone expecting you.Flag separate-ticket connections immediately: they may not have the protections of flights booked together. Check any existing travel-insurance or credit-card delay cover for eligible costs, waiting periods and approval requirements before making expensive arrangements.

7. Make the wait more manageable—without missing your flight.

Once your travel arrangements are secure, find somewhere comfortable to recharge yourself and your phone. An airport lounge may offer a calmer place to wait, eat and work. Check access, opening hours and stay limits before paying; lounge entry is not automatically an airline-reimbursable expense.Keep flight alerts on, monitor the gate and allow time to return. 8. Follow up after you arrive.

Submit a clear claim with flight details, the disruption reason, actual arrival time and receipts. Specify whether you are seeking a refund, expense reimbursement, compensation, or more than one.
